How to Move Your Business Email from Gmail to Your Own Domain

Many small businesses start with an address like [email protected] because it is free and easy. As the business grows, it becomes a weak point: customers trust [email protected] more, and quotes and invoices from a company address look more professional. This guide shows how to switch step by step without losing your messages.

Why switch?

• Trust: customers see a real company with its own domain.
• Brand: every message carries your company name.
• Control: accounts belong to the company, not the employee.
• Department addresses: sales@, support@ and accounts@.

Steps

1. Register a domain for your company, such as company.com or a Saudi .sa domain.
2. Choose hosting: email hosting for email only (from $23.99/year), or business hosting for website and email together (from $77/year, unlimited accounts).
3. Create the email accounts in cPanel for each person and department.
4. Point the MX records to your hosting if the domain is with another registrar.
5. Move your old messages from Gmail via IMAP, or ask the Hyyat Host team to move them for free.
6. Set up your devices: Outlook, iPhone, or inside the Gmail app itself.
7. Tell your customers the new address and set an auto-reply in Gmail for a while.

Avoid the spam folder

After the move, make sure SPF and DKIM records are set for your domain; they prove to Gmail and Hotmail that your messages are genuine.
